Gallery Assistant

Job Description: Gallery Assistant

Hours per week 20 –flexible schedule – weekends and evenings

Non-Exempt

Reports to: Gallery Manager/Executive Director

Skills Needed: This position requires an individual who can work both independently and as part of a team. They must be able to communicate and interact effectively with the general public, Art League members, volunteers, and other staff members. Computer proficiency including knowledge of Microsoft Word, Excel, Publisher, and social media is required. The candidate must be able to operate videoconferencing tools ex zoom, and use ShopKeep , Proclass, and constant contact software systems effectively. Ability to use credit card machine & copier and lift up to 35lbs.

Responsibilities include but not limited to:

Retail Area

  • Responsible for coordinating the implementation of “Front office” aspect of Shopkeep point of sale system
  • Enter existing inventory into Shop Keep
  • Create bar coded labels for merchandise and product keys on IPAD
  • Keep displays neat and orderly
  • Maintain database of artisans for retail area
  • Maintain inventory of packaging products for retail sales and provide orders to office manager as needed
  • Communicate with artists when items are sold or need to be replaced/removed

Program

  • Coordinate artisans for annual artisan holiday fare
  • Coordinate annual art yard sale
  • Coordinate evening lecture series

Front Desk Duties

  • Greet Visitors, provide information, answer phones, direct inbound calls
  • Promote artwork, handle sales, and reconcile daily transactions
  • Add artwork to inventory/notifying artists when sales are made
  • Taking class registrations and memberships and record on Proclass
  • Print class sign in sheets and update teachers with registration numbers
  • Supervise front desk volunteers
  • Set up rooms for classes and assist instructors as needed
  • Monitor virtual zoom classes as needed.
  • Maintain front counter brochures and forms

General Facility Duties- Assist where needed with keeping general facility clean, neat, and well stocked including: kitchen, bathrooms, closets, and desk.
